Pursuant to the contract awarded by the Board of Trustees on June 6, 2019, Fluoresco Services Inc. has furnished all materials and labor for the completion of the work related to Contract #19-159, Prop 39 installation of LED lighting at Abbott, Bayside, and the District Office. With the approval of the Board of Trustees, the attached Notice of Completion will be filed with the San Mateo County Recorder's Office as required by law.

The District Facilities Team meets every Monday to discuss project status. During one of these team meetings, it was noted that only one of the new gyms was designed with a sound system; that gym was Abbott. After further discussion with the Facilities team and the district Superintendent, it was deemed that all three gyms needed to have a sound system. As such, we reached out to multiple sound system vendors and found EKC to be the best fit for the Bayside gym due to the timing of the project finish date fast approaching. There will be two components to the gym sound system. The first component includes items such as speakers, wiring for the sound system equipment, etc. Please refer to attached Exhibit A for further details. The second component, which will come later via a change order from Rodan, will be for the pathway/conduit for the sound system. This includes items such as blocking, conduit, bridging, etc. The district determined that all three gyms needed to stay consistent. This item is not a change order for Rodan, and does not represent an increase to the Board approved budget. The cost for this contract is being absorbed by the construction contingency established and approved for the project. The actual cost of this item is .5% of the overall budget. |

Due to the complexity of the New Elementary School in Foster City and Title 24 of the Energy Code, the District is contracting with a commissioning agent. As such, Eichler Associates, Inc. has provided the district with a proposal to perform commissioning as outlined in the attached exhibit A. The cost for this contract does not represent an increase to the overall Board approved budget for the project. This cost is being absorbed by the construction contingency established and approved for the project. The actual cost is approximately 1/100 of a percent of the overal project. |

Government Code 53646 imposes disclosure requirements on all Government Agencies. District staff must provide a quarterly report to the Board. If a local agency has placed all of its investments in a Local Agency Investment Fund (LAIF), in a Federal Deposit Insurance Corporation, insured accounts in a bank or savings and loan association, in a county investment pool, or any combination of these, staff will provide the most recent quarterly statement received by the local agency from these institutions. Board Policy 3314 states the following: It shall be the practice of the administration to present the Board of Trustees with copies of all warrant registers for information and review at each regularly scheduled meeting of the Board of Trustees. As Policies 3100 (budget) and 3110 (transfer of funds) provide criteria for Board authorization of all expenditures, both personnel and non-personnel items, prior to the actual payment of the obligation, warrants will be distributed to the vendors and employees after audit by the County Superintendent of Schools. Education Code Sections 42631-36 requires the Board of Trustees approve all expenditures made by the District.

The District's Facilities Master Plan was last updated in 2013. With the work that has occurred within the last few years, financed through Measures L, X, Prop 39, Developer fees, and routine restrictive maintenance, a new updated Facilities Master Plan will need to be produced. The District met with the two architectural firms responsible for the previous facilities master plans. Aedis was responsible for the 2010 document and IBI Group was responsible for the 2013 update. The District requested proposals from both firms to do a 2020 update. In reviewing both proposals, the District selected Aedis Architects.
